The AI-Ready Procedure Pack is twelve written procedures for the work a service business repeats every week, ready to fill in with your own names, tools and numbers, by hand or with any AI assistant in about twenty minutes.

Who it is for

You own or run a service business with a team: people who take inquiries, send quotes, book jobs, do the work and send invoices. Today most of that runs on memory and on you. The same questions come back to you every week because the answer was never written down.

It suits a business that knows it needs procedures and has not had the afternoon to write them.

What is inside

Twelve procedures:

  1. New inquiry: reply times, the five facts to get, and what to do when you cannot serve them.
  2. Quote and follow-up: pricing from the sheet, same-day quotes, and three follow-ups on set days.
  3. Booking and confirmation: on the schedule the same hour, staffed, confirmed in writing.
  4. First job for a new customer: the visit that decides whether they stay.
  5. Daily inbox and phone sweep: every door work comes through, checked twice a day by one person.
  6. Complaint: reply first, facts second, a written rule for what can be fixed without asking you.
  7. Customer wants to pause or cancel: never leave a regular customer with no next date.
  8. Invoice and payment: invoiced from the job the same day, with reminders on set days.
  9. Schedule change: look at the whole week before agreeing to move one job.
  10. New hire, first week: before day one, day one, the first job alone, the week-one conversation.
  11. Supplies and spending: three approval levels and a reorder point.
  12. The weekly review: thirty minutes, six items, three decisions.

Every procedure has the same five parts: why it exists, what starts it, the steps, how you know it is done, and who owns it. Times, amounts and tool names are in brackets, with a sensible starting value you can change.

The pack opens with three rules that make procedures stick, and the order to roll them out: start with the three that protect revenue, then add one a week.

Make it yours with AI

The last section is a prompt for any AI assistant: Claude, ChatGPT, Gemini. You write five lines about your business (what you sell, your area, your team, your tools, your hours), paste the prompt and one procedure, and it fills every bracket for your business. Where your five lines do not say, it marks the line for you to check instead of inventing an answer. You read it once, fix what it flagged, and give it an owner.

What it replaces

  • The blank page. Writing twelve procedures from nothing is the job that never gets done.
  • Answering the same question for the tenth time. A step with a written rule does not need you.
  • Procedures written as long documents nobody opens. Each of these fits on half a page and follows the order the work is done in.

My free SOP Starter Template is one blank form with two examples. This pack is the next step: the twelve a service business needs first, already written.

What it is not

  • It is not written for one industry. The steps are general on purpose. You will change some of them, and the pack tells you to.
  • It is not legal, employment or safety policy. It covers how work moves through the business, not what the law requires of you.
  • It is not software. It works with whatever scheduling or job tool you already use, and the AI prompt works with any assistant, free plans included.
  • It does not run itself. A procedure works when one named person owns it. Every procedure in the pack ends with a line for that name.
  • It does not tell you where the business is losing money. Procedures tell people what to do. Finding the leak is a different job.

Questions

What kind of business is it written for?

A service business that takes inquiries, quotes, books jobs, does the work and sends invoices, with at least a few people involved. Field and home services fit it most directly. Other service businesses will change more of the wording.

Do I need a particular tool?

No. Wherever a tool is involved the procedure says [tool], and you write in the one you use.

Can I edit the procedures?

Yes, and you should. The download is a PDF plus an editable text copy of every procedure. Paste each one into the place your team already reads, fill in the brackets and change any step that does not fit how you work.

How long does it take to put in place?

Start with three: new inquiry, quote and follow-up, and the daily inbox and phone sweep. Then add one a week. Putting all twelve in at once is how procedures get ignored.

If the problem is bigger than a kit

If you are not sure which procedure matters most, find the leak first. The free Find Your Leaks worksheet takes an afternoon, and the Operations Leak Audit is the version I run for you.
